Changes to business units

This help describes some changes to business unit workflows when AGMS is enabled for your subscription.

Transfer primary contact to another business unit

Every business unit has 1 user designated as the primary contact (noted with an asterisk next to their name on the Users list). When a business unit only has the primary contact user remaining (no other users), then you are able to move the primary contact to a different business unit. You can do this by editing the user or by editing the business unit. 

Here are 2 methods for transferring the primary contact:

  • Go to Users > Users. Identify the primary contact user you want to transfer. Edit the user's account and select a new business unit. The user will be transferred only if there are no other users in their old business unit. You'll also be prompted to choose user configurations to transfer with the user.
  • Go to Users > Business Units. Edit the new business unit and add the primary contact user from the old business unit. The user will be transferred only if there are no other users in their old business unit. You'll also be prompted to choose user configurations to transfer with the user. 

Business unit can only be deleted when it has 0 users

You can delete a business unit only if the business unit is empty, meaning it has 0 users. You can transfer users from the business unit to a different business unit.

You can only transfer the primary contact for the business unit when this user is the last user remaining in the business unit. See instructions above. 

Does your business unit include a user with the "Contact" user role? This type of user cannot be moved to another business unit. You'll need to delete the Contact user from the Users list before you can delete the business unit. Go to the Users list, search for the user (by user login and role) and then pick Delete from the Actions menu above the list. 

How to delete  a Business Unit without deleting business unit POC user

Prerequisite:

  • You must have a user account with permissions to manage users and Business Units.
  • The Business Unit you want to delete must have a Primary Contact (Unit Manager) assigned.
  • All users associated with the Business Unit (BU) must be reassigned to other Business Units before the Business Unit can be deleted.
  • The Primary Contact (Unit Manager) must be the last user reassigned from the Business Unit.

When modifying user assignments, roles, or Business Unit memberships, review any data or asset reassignment options to ensure assets remain associated with the correct users or Business Units.

Steps to delete a Business Unit

The Business Unit is deleted, and the original Primary Contact user remains active with the new role and Business Unit assignment.

  1. Create a temporary user with the Unit Manager role. Assign this user to the relevant Business Unit. Ensure that the temporary user account is activated.
  2. Assign the temporary user as the Primary Contact by navigating to VM > Users > Business Units. Search for and select the Business Unit. Click Edit from Quick Action menu. In the Primary Contact field, select the temporary user from the list. Save the changes. 
    This makes the temporary user as the Primary Contact and removes the existing user from that role.
  3. Remove the original user from the Business Unit by navigating to VM > Users. Search for the original user account. Edit the user from the Quick Action menu. In the Business Unit field, Change the original user to a different Business Unit or Unassigned and change the role to Manager or Scanner User. Save the changes.
    Now, the original user is removed from the Business Unit, and only the temporary user remains assigned to the Business Unit.

  4. Delete the temporary user by navigating to VM > Users. Search for the temporary user. Select the user. Click Actions list > Delete. Now the Business Unit has no assigned users.

  5. Delete the Business Unit by navigating to VMDR > Users > Business Units. Search for and select the Business Unit. Click Actions > Delete.

The Business Unit is deleted, and the original Primary Contact user remains active with the new role and Business Unit assignment.
